Define after-hours by event phase

Specify pre-event, doors, active program, intermission, egress, post-event and overnight settlement coverage. State that receiving a message does not mean a ticket, transfer, refund, accommodation or emergency action is completed. Publish separate routes for immediate danger, venue security, ticket access, accessibility, lost person, conduct, event change, payment and routine service. Each needs an event and venue owner, backup, acknowledgment target, acceptance state and attendee expectation. Update the playbook after schedule, configuration, seller, staffing or public-safety changes.

Put incident command first

For fire, smoke, medical danger, violence, suspicious item, structural concern or another immediate threat, tell attendees to contact 911 or follow onsite emergency officials. Support must not diagnose, direct re-entry, counter evacuation or shelter instructions, or publish unapproved operational detail. After emergency contact, activate the venue command route and preserve minimal facts, location, time, channel, receiver and next expectation without spreading sensitive security information.

Resolve credentials without creating fraud

A failed barcode, lost phone or rejected transfer combines service and identity risk. Verify the order and attendee through the approved seller route before exposing ticket details, resending a credential or changing ownership. A screenshot, email address or order number alone may be insufficient. Do not request passwords or one-time codes. Define box-office, will-call, accessible alternate and supervisor paths. Record every consequential reissue or void and prevent duplicate live credentials. Suspected account takeover or counterfeit ticket belongs in the security workflow.

Escalate accessibility failures onsite

If an accessible seat, route, entrance, interpreter, captioning service or communication aid is unavailable, connect the attendee to the onsite accessibility and operations owner. Preserve the person’s requested outcome without demanding unnecessary disability detail. Do not improvise a relocation, separate companions, release another accessible seat or state that a route is safe. Safety consequences may require urgent venue command. Provide effective communication throughout the handoff and record who accepted, what interim support was offered, and the next expectation.

Communicate event changes accurately

Delays, weather holds, venue changes, postponements and cancellations require one authoritative message owner. Preserve the policy and reason for the authorized owner. Never redirect funds to a new bank, payment app, gift card, wire or cryptocurrency address from a message. Suspected diversion requires independently verified contacts. Require accepted human handoffs

A transfer, radio call, voicemail or ticket is not accepted ownership. Record sender, receiver, event, venue zone, reason, risk class, time, evidence, target, backup, acceptance and attendee expectation. Advance through the escalation tree when the first owner does not acknowledge. Restrict security-sensitive details by role. Exercise fire, medical danger, evacuation, accessible entrance failure, counterfeit ticket, compromised account, payment diversion, cancellation, no responder and system outage. Score correct lane, emergency language, identity, credential control, effective communication, acceptance, evidence and closure. Change scripts through approved version control, conduct an after-action review and retain manual continuity plus rollback.
