Put the person and road scene first

Ask whether a crash occurred, anyone is injured, there is fire or smoke, the vehicle is in moving traffic, the shoulder is too narrow, visibility is poor, the vehicle is unstable, or another immediate danger exists. If yes—or the caller is uncertain—direct them to 911 or the appropriate emergency authority and to follow responder instructions. Do not keep them in a sales script. Never ask a caller to stand near traffic, crawl under a vehicle, loosen lug nuts, use a jack, touch hot or damaged components, inspect the inner sidewall, or add air simply to complete the intake.

Keep diagnosis and safety with qualified owners

A caller's pressure reading, dashboard light, photograph, sound, vibration description, tread observation, or visible damage is useful intake evidence, not a complete diagnosis. A communication workflow should never declare a tire safe, tell a person to continue driving, approve a roadside repair, select inflation pressure from the tire sidewall maximum, or conclude that a puncture, sidewall, bead, wheel, TPMS, alignment, or suspension issue is repairable. Qualified technicians should inspect the vehicle and use current vehicle, tire, equipment, manufacturer, and applicable industry procedures. Immediate injury, fire, crash, traffic, or unstable-vehicle risk belongs with emergency authorities and responders.

Separate fitment, recall, price, warranty, and permission

Correct fitment can depend on vehicle identity, placard or manual information, size, service description, load, speed, wheel, axle or position, use, modifications, and manufacturer requirements. A tire or vehicle recall requires authoritative identification and remedy information; a lookup result does not prove completion. Inventory, price, fees, taxes, disposal, promotions, warranties, road-hazard plans, and service terms need current authorized evidence and conditions. Inspection, diagnosis, estimate, repair, replacement, added work, disposal, and payment are separate states. Record who supplied each fact, who owns the decision, the version, and explicit authorization.

Protect customer and vehicle information

Tire workflows may handle name, contact details, precise location, VIN, license plate, vehicle configuration, tire identification, images, fleet account, claim or warranty information, keys, payment data, recordings, and messages. Collect only what the present purpose requires through approved channels. Apply least privilege, encryption, vendor review, retention and deletion controls, secure transfer, and incident response. Verify authority before disclosing vehicle location, service status, documents, balances, warranty information, or pickup details. Record service communication consent separately from optional marketing and honor applicable recording, texting, and opt-out rules.

Create an acknowledged roadside-to-shop handoff

After the scene is secure, capture exact location, callback method, vehicle year, make and model, caller authority, the tire or wheel position if known, visible damage, warning indicators, whether a spare is available, and the requested next step. Use a secure channel for VIN or sensitive identifiers only when safely available. Record the roadside or tow provider, requested destination, expected arrival, keys and access, and any facility restrictions. Require the destination to acknowledge receipt. If dispatch, transfer, or booking fails, say so and route to a named human fallback rather than claiming help is on the way.

Test severe cases and ordinary failures

Build scenarios for a caller beside traffic, a blowout after a crash, an unclear vehicle identity, two similar customers, staggered fitments, a visible bulge, a prior repair, a recall question, a requested substitute, stale stock, a changed quote, a disputed warranty, withdrawn consent, an unavailable technician, failed transfer, rejected appointment, duplicate write, and outage. Inspect source fields, permissions, disclosures, action result, destination record, acknowledgment, retry, and customer message. Pause for unsafe direction, invented fitment, false stock or price, unauthorized work, hidden terms, privacy disclosure, cross-customer data, or false completion.

Pilot narrowly and measure complete outcomes

Limit initial intents, stores, services, channels, languages, hours, users, and write permissions. Review every safety, fitment, recall, price, warranty, authorization, privacy, and failed-action exception plus samples of normal contacts. Track qualified-human handoffs, acknowledged appointments, accepted records, failed actions, duplicates, corrections, cancellations, unresolved cases, and unknowns. Confirm who can pause automation, preserve evidence, prevent duplicate reservations or work, notify the customer, reconcile systems, correct records, and approve restart. Repeat after changes to scripts, models, prompts, data, prices, inventory, calendars, vendors, permissions, vehicle or tire references, procedures, laws, or staff. A successful exercise reduces known uncertainty; it does not prove safety, compliance, or performance for every tire, wheel, vehicle, caller, shop, state, channel, or system.
